This role requires acumen necessary to providing proactive and timely in-office administrative support, while modeling commitment to fostering and sustaining new and existing client relationships.

Key Responsibilities

Office Administration: Responsible for client experience to include preparing prompt and accurate account paperwork, money movements, maintaining and reconciling client data across multiple systems, responding to clients in a timely manner, and effectively managing office activities and workflows.

Compliance: Actively participate in internal and external compliance audits. Document, monitor, and consistently report on compliance-related data and office activity.

Supervisory: Provide guidance to the firm’s virtual administrative support personnel. Supervision includes delegating tasks, workload management, monitoring performance against tasking, and ability to effectively anticipate, mitigate, and address any related issues in spirit of continuous improvement.

Critical Thinking: Able to correctly assess a given business situation, anticipate need, and effectively prioritize next steps on way to achieving objectives. Takes a proactive approach to problem-solving with a can-do attitude and commitment to continuous improvement.

Communication: Presents and articulates themselves in professional manner conducive to achieving day-to-day tasks, at same time positively impacting client engagement. Must be comfortable leading team meetings and driving business results.

Administrative Support: Is clients’ first point of contact and critical to coordination and preparation of regularly scheduled client meetings in alignment with advisor capacity. Provides administrative support to firm owners and team members to include email and phone correspondence, scheduling and calendar(s) maintenance, meeting preparation, and maintaining office inventory.

Collaboration: Team player who approaches their work with initiative and resolve. Someone who enjoys being in-office and interacting with clients and teammates on a daily basis–whether that be in person, via phone, or through written communications.

 

Experience & Skills

  • Minimum two years’ experience managing a busy office or firm, preferably in investment management, banking, financial services, or related field
  • Technical aptitude to quickly grasp and navigate business-critical software and equipment; CRM experience a plus
  • Proficiency in MS Office Suite, to include Excel
  • Strong communication and interpersonal skills facilitating ability to successfully partner with others in effort to achieve business tasks
  • Time management and organizational skills necessary to succeeding in a fast-paced and quality-driven environment
  • Ability to plan and correctly prioritize daily work tasks
  • Work output reflecting detail-orientation and accuracy
  • Commitment to maintaining client confidentialities
  • Verbal and written skills necessary to professionally and effectively communicate in both dialog and written format

Education:

  • Minimum bachelor’s degree from an accredited university

Annual Salary

Salary range is $61,000.00 – $81,000.00

Our client is a highly regarded and successful wealth management firm seeking a skilled Paraplanner who brings business acumen necessary to supporting a busy and growing office.

This client-facing role supports portfolio management and advisory capability in alignment with the firm’s financial planning and office workflows. Success requires ability to effectively partner with both clients and senior staff in planning and monitoring investment portfolios.

Key Responsibilities

Financial Planning: Effectively partners with lead advisors through the client discovery process and the creation/monitoring/updating of financial plans. Financial plans serve as the basis for our collaboration with clients to help them ascertain their investment objective and achieve their goals.

Client Service: Proves empathetic and knowledgeable to clients having questions and seeking progress updates. Demonstrates emotional intelligence. Helps maintain and update client financial data in accordance with workplace technologies and workflows. Actively participates in creation and delivery of client presentations. Identifies and helps facilitate monetary transactions including required minimum distributions.

  • Minimum two years’ experience in financial planning or related field
  • Proficiency Microsoft Office Suite, CRM, and financial planning software (i.e., eMoney)
  • Strong understanding of financial planning terminology, concepts, and accounting principles
  • Proven competency with data modeling and financial calculations in adherence with the investment team’s guidance
  • Strong communication and interpersonal skills facilitating ability to successfully partner with others in effort to achieve business tasks
  • Verbal and written skills necessary to professionally and effectively communicate in both dialog and written format, to include presentations/summaries to clients
  • Time management and organizational skills necessary to succeeding in a fast-paced and quality-driven environment
  • Ability to plan and correctly prioritize daily work tasks
  • Work output reflecting detail-orientation and accuracy
  • Commitment to maintaining client confidentialities

Education:

  • Minimum bachelor’s degree from an accredited university in finance, accounting, economics, or related field
  • Series 65 licensure
